This Cancellation Policy explains when a donation instruction, recurring mandate, requested program date, or related activity may be cancelled. It should be read together with VMF's Refund Policy.
1. One-Time Donations
A one-time donation cannot ordinarily be cancelled after the donor authorises the payment and the transaction is successfully processed. A request involving a duplicate, incorrect, unauthorised, or technically erroneous payment will be reviewed under the Refund Policy.
2. Pending Payments
If a transaction remains pending, do not make another payment until the bank or payment provider confirms whether the first transaction succeeded, failed, or was reversed. VMF cannot cancel a debit that remains under the control of the donor's bank or payment provider, but VMF will assist with status verification where transaction details are available.
3. Recurring Donations or Payment Mandates
Where VMF offers a recurring donation or payment mandate, a donor may cancel future debits using the cancellation method provided by the payment provider or by contacting VMF at least five (5) business days before the next scheduled debit. Cancellation applies prospectively and does not automatically refund donations already processed.
4. Scheduled Meal, Sponsorship, Occasion, or Dedication Requests
A donor may request a change or cancellation of a scheduled meal date, occasion, dedication, photograph, or message. VMF will make reasonable efforts to accommodate the change subject to operational feasibility, safeguarding requirements, and program conditions. Cancellation of the requested date or dedication does not automatically cancel or refund the underlying donation.
5. Foundation-Cancelled Activities
If VMF cancels a specific campaign or activity and no acceptable alternative allocation is agreed with the donor, an eligible refund may be reviewed under the Refund Policy.
6. How to Submit a Cancellation Request
Email info@vandemataram.foundation with the donor name, contact details, transaction or mandate ID, donation date and amount, relevant program, requested date if any, and the requested action. VMF may ask for verification before changing or cancelling a mandate or program request.
7. Confirmation
VMF will confirm the outcome of a cancellation request in writing. Where a request relates to an already processed donation, any refund will be handled under the Refund Policy.
